Start with the emails you write every week
Most small businesses send the same ten or so emails over and over: confirming a visit, sending a quote, asking for access, chasing a document, saying thank you. These are the easiest wins.
A routine that works
- Collect your five most common emails, written the way you like them.
- Save them as templates in your email program, or in a note you can copy from.
- When you need one, paste the template and a few rough notes into an AI assistant and ask it to adapt the email, keeping your tone.
- Read it, correct anything wrong, then send it yourself.
Keep it safe
Don't paste customer personal details, bank details or anything confidential into a free AI tool. Use initials or placeholders and fill them in afterwards, or use a business account with suitable data settings.
AI drafts can sound confident and still be wrong. You are responsible for what goes out, so always check names, dates, prices and promises.
